What’s The Job?
The Executive Assistant will provide a high-level administrative support to the Executive Leadership Team. This position will be located in the Chalfont, PA building, The Chalfont facility is going to function as a showplace and meeting space for OEM VIPs and Customers. In addition to supporting the three-member Executive Leadership Team, this person will function as the primary point of contact for all site coordination needs.
What Will I Be Doing?
Here are just a few things you can expect to do daily:
- Ensure sensitive, confidential information is handled with discretion to maintain compliance and security.
- Manage calendars, e-mails, phone calls and voicemails for executive leaders.
- Be the smiling face that can be the first point of contact if the three member Executive Leadership Team cannot be the first point of contact.
- Convey an understanding and a sense of urgency and action when interfacing with customer and OEM VIP inquiries
- Arrange and coordinate meetings, including preparing agendas, materials, equipment, catering and necessary logistics.
- Coordinate executives travel logistics, including accommodations, transportation, and meal reservations.
- Reconcile monthly expense reports for executive leaders.
- Be accessible and act as a “face of the organization” to welcome visiting associates and guests, schedule and coordinate visitors to Chalfont’s showroom.
- Attend and take accurate meeting notes, ensuring follow-up actions are documented, tracked and delegated for timely completion and direction from the executive.
- Prepare and create PowerPoint presentations.
What Makes Me Qualified?

- Minimum 5 years of related experience
- Outstanding interpersonal skills with the ability to interact well with people at all levels within the organization.
- Self-motivated, with outstanding organizational and time management skills, and be able to work independently.
- Flexibility and ability to multi-task within tight deadlines.
- Exceptional attention to detail.
- Strong written and verbal communication skills
